Workplace COVID-19 vaccinations at Osaka University (for OU community members) (updated September 7, 2021)

Announcement: Regarding contaminated doses of the Moderna COVID-19 vaccine (August 26, 2021)

On August 26, 2021, the government announced its decision to suspend use of some doses of Moderna Inc.’s COVID-19 vaccine, which is distributed by Takeda Pharmaceutical Company Limited on behalf of Moderna. This is a response to the discovery of foreign materials in one batch of COVID-19 vaccine.

Osaka University confirmed that doses with the suspended lot numbers have been used at its vaccination sites on the dates noted below.

However, vaccine doses administered at Osaka University are checked several times before they are given, and no reports of contamination at the university have been received thus far.

Both Takeda Pharmaceutical Company and the Ministry of Health, Labour and Welfare have also stated that they had not received any reports of safety concerns thus far.

*Vaccinated individuals can check if they received one of the affected vials by looking at the lot number on the sticker affixed to your vaccination certificate (接種済証) or vaccination record (接種記録書).

*Individuals who received one of the affected vials and are feeling ill should contact a medical facility. If you have any concerns, please contact the hotline below.

Dear OU community,

To speed up the country's vaccination rollout and help reduce the burden on local municipalities, OU will begin its workplace vaccinations for those who study and work at the university starting on Friday, July 2.

The Department of Safety and Hygiene provides these vaccinations under the guidance of healthcare workers at the Health and Counseling Center and in cooperation with doctors at Osaka University Hospital.

Since some cannot be vaccinated due to health reasons and there are possible side effects after getting vaccinated, vaccinations are not mandatory. Whether or not you get vaccinated is completely at your own discretion.

Make sure not to force others to get vaccinated or disadvantage those who have chosen not to be vaccinated.

1. Intended for

OU students, faculty and staff, and workers at the university, including part-time employees, visiting academic staff, temporary workers, and those who work for the university while belonging to other organizations.

*Note: family members are not eligible for vaccination.

2. Vaccination dates

The second vaccination will be 4 weeks after the first vaccination at the same venue and time. If the date falls on a holiday, the time of vaccination may be changed.

As a general rule, you cannot change the date of your second dose. (When you book your first dose, the appointment for your second dose will be reserved automatically. Please check the vaccination schedule before making a reservation so that you can get your second dose as well.)

*The final date for first vaccinations doses is Friday, September 3, 2021. Even if each day reaches capacity for vaccinations, due to circumstances surrounding the venue and personnel, there will be no more additional dates for first doses.

*There is no parking in the vicinity, so please use public transportation or walk when coming to these venues.

*For this purpose, Cartier and Science Studio B in the Student Commons will be unavailable from Monday, June 28 ~ Friday, October 1, 2021.

4. Reservations (Applications are no longer being accepted)

Individuals with an Osaka University ID

You can confirm your reservation at the reservation page (Japanese only) on MyHandai.

Individuals without an Osaka University ID (and are working at OU)

You can confirm your reservation at the STORES website. (Japanese only)

5. On the day of your reservation

Please present the following at the reception when you receive vaccination.

Please print out this sheet at 100% scale, fill it in, and bring it with you on the day of your vaccination.

Individuals who have made their reservation via MyHandai must print out or take a screenshot of the QR code on the screen confirming their reservation.

*This QR code can also be viewed by clicking the time and date of your reservation under the 予約状況 (Reservation Status) section at the top of the Reservation System (Toyonaka/Suita) page.

Individuals who made their reservation via STORES should print out or take a screenshot of the screen confirming their reservation.

Student ID, driver's license, residence card, health insurance card, etc.

● Vaccination voucher from your local municipality

*Note: You can receive a workplace vaccination at OU even if you have not yet received your vaccination voucher.

*If you have received your vaccination voucher, bring it to your next vaccination appointment. If you happen to receive your voucher after your second dose, send it in an envelope that you will receive at the vaccination site to the Department of Safety and Hygiene as soon as possible.

Possible Side Effects After Getting a COVID-19 Vaccine

You are encouraged to plan for the vaccination date and the following date, considering for the possible side effects after the vaccine, such as fever and pain.

Students who took sick leave due to side effects after vaccination should follow the school policies.

6. About the vaccination

Basic information on the vaccine used in workplace vaccinations at Osaka University

● Osaka University workplace vaccinations use the Moderna vaccine.

● These vaccinations are provided free of charge.

● A COVID-19 vaccine may prevent you from getting COVID-19 or from becoming seriously ill or dying due to COVID-19.

● There is no conclusive evidence which claims that the COVID-19 vaccine stops people from spreading the virus that causes the disease.

● We ask that you take measures to prevent the spread of COVID-19 (wearing a mask, avoiding crowded/closed/close-contact settings, washing your hands, practicing proper coughing etiquette, etc.) even after getting vaccinated.

● These workplace vaccines do not prohibit you from vaccinations at medical institutions or municipal vaccination venues. However, since this vaccination requires two doses, if you receive your first dose at Osaka University, you must also receive your second dose at Osaka University. You should get your second dose four weeks after your first dose. Schedule your vaccination so that you do not miss your 2nd dose due to scheduling glitches such as long-term business trips.

● If you have strong food or drugs allergies or have ever had an adverse reaction to a vaccine, please consult with your primary care physician.

● If you have any pre-existing conditions, are receiving treatment, have been diagnosed with seizures, or may be pregnant, please consult with your primary care physician before receiving this vaccination.

Vaccination vouchers from your local municipality

● If you have received your vaccination voucher you may be able to receive your vaccination at a local vaccination center, medical facility, or mass vaccination center, earlier than at OU, so check information from your local municipality. (For details, click here .)

After understanding the risks and the benefits of the vaccine, it is up to you whether you wish to receive it or not.

7. Frequently Asked Questions

Q: Do I need to get vaccinated on the campus where I study/work?

A: No, you can get vaccinated on either campus (Suita or Toyonaka) regardless of where your department is located, so feel free to choose the day/time that best suits you.

Q: If I received my first dose at Osaka University, can I get my second dose at a different location?

A: According to the Ministry of Health, Labour and Welfare's website, as a general rule, you are requested to receive the second dose of the vaccine at the same facility you received your first dose.

If for any reason this is not possible, you need to book an appointment at another vaccination venue for your 2nd dose of the Takeda/Moderna vaccine four weeks after your first dose.

If it has been more than four weeks after your first dose, you need to receive your second dose as soon as possible.

Q: Will I receive a vaccination certificate after getting vaccinated?

A: Yes, after receiving your vaccine, you will receive a certificate that includes the date and location of your vaccination.

If you need written confirmation of your COVID-19 vaccination to ease quarantine requirements at immigration when entering a foreign country, you should apply to the municipality where you are registered as a resident.

Q: I was recently vaccinated for something other than COVID-19, can I receive a COVID-19 vaccine?

A: According to the website for the Ministry of Health, Labour and Welfare, COVID-19 vaccines can be administered with a minimum interval of 14 days before or after administration of any other vaccines.
